Situation
The firm receives every case file from its client on paper: promissory note, power of attorney, statement of debt and, sometimes, deeds. Drafting each collection lawsuit by hand took about three hours: transcribing data, calculating the claim amount, checking that everything matched across documents and preparing the attachments.
What we did · TRAZO Method
T · Trace the workflow
We followed a case file from paper to a lawsuit ready to file, and measured the time each draft took.
R · Rules or AI?
Reading scanned promissory notes and statements is work for AI; calculating the claim amount and structuring the lawsuit follow the firm's fixed rules.
A · Agent and human
The lawyer photographs the file with her phone. The platform checks that every image is legible, builds the attachment PDFs, extracts the parties, the credit instrument and the statement, and drafts the lawsuit in Word with the firm's template. The lawyer reviews and approves every lawsuit.
Z · Safe zone
The platform runs on the firm's own server, with private access, and cross-checks data between documents before drafting (for example, that the name on the power of attorney matches the one on the statement).
O · Objectives measured
Time per draft and the status of every lawsuit on a dashboard: draft, in progress or ready to file.
